Overview

The Bureau of Educational and Cultural Affairs (ECA) seeks a Program Coordinator (Junior Program Officer) to support program officers in the implementation and management of the Future Leaders Exchange (FLEX) program, Youth Exchange and Study (YES) program, and/or Congress-Bundestag Youth Exchange (CBYX) program, in the Youth Programs Division, Office of Citizen Exchanges, Bureau of Educational and Cultural Affairs.  The Program Coordinator works under the close supervision of a Branch Chief and provides support to program officers.  The Program Coordinator plans and carries out directed assignments and projects.

Responsibilities

  • Organizes and manages logistics for meetings and events.
  • Assists in the arrangements for review panels of proposals received in response to solicitations for Bureau grants and cooperative agreements. Organizes grant/cooperative agreement packages for clearance processes and tracks packages.
  • Maintains current and complete records of all cooperative agreements, grants and special projects in the office database.
  • Communicates with grantee organizations to obtain and verify information on program participants and with program activities.
  • Maintains accurate fiscal data to program officers and keeps budget records updated and accurate with oversight from the supervisor.
  • Maintains spreadsheets and records for exchange programs and exchange program activities.
  • Works directly with program officers and grantee organizations on matters relating to health benefits/insurance.
  • Ensures the program activities and events are entered, updated and accurate in Division, Office and/or Bureau planning calendars.
  • Takes initiative to resolve logistical and administrative problems.
  • Responds to requests for information (internal and external); assist in compiling information, statistics and reports on exchange program.
  • Assists with a variety of administrative duties and program activities.

Qualifications

  • Experience with international education or exchange programs, activities, and resources.
  • Experience in oral and written communications and coordinating reports, memos, recommendations, and briefing papers.
  • Ability to maintain current and complete records of all grants/cooperative agreements and special projects in the office database.
  • Strong interpersonal skills and ability to work effectively with individuals within the Department and with outside contacts.
  • Ability to organize and set priorities effectively under pressure.
  • Ability to respond positively in solving problems and answering questions about office programs as they relate to U.S. foreign policy objectives
