Overview

The United States Department of State, Bureau of Political-Military Affairs, Office of the Directorate of Defense Trade Controls (PM-DDTC) is responsible for the regulation of defense trade through the Arms Export Control Act (AECA). DDTC regulates the brokering of defense articles, defense services, and technical data. DDTC maintains the registration of manufacturers, exporters and brokers and issues export authorizations. DDTC administers the commodity jurisdiction process, a formal USG decision process to determine which specific items are controlled by the USML or by the Department of Commerce’s Export Administration Regulations. 

 

Responsibilities

Administrative Support

  • Manage the DAS’s schedule, including coordinating meetings, appointments, and travel.
  • Prepare briefing materials, presentations, and reports for internal and external engagements.
  • Ensure timely responses to correspondence and inquiries, drafting official communication as needed.
  • Maintain filing systems for sensitive and classified information in compliance with departmental policies.

Operations Management

  • Coordinate with PM-DDTC offices and external agencies to ensure seamless communication and collaboration.
  • Monitor action items, deadlines, and follow-ups related to ITAR compliance, enforcement actions, and regulatory updates.
  • Organize and support meetings, including preparing agendas, recording minutes, and tracking outcomes.

Stakeholder Engagement

  • Serve as a primary point of contact for the DAS, managing communications with internal teams, interagency partners, and external stakeholders.
  • Facilitate information flow between the DAS and PM-DDTC offices, ensuring alignment with bureau priorities.

Travel and Event Coordination

  • Arrange domestic and international travel for the DAS, including securing necessary approvals, preparing travel itineraries, and processing expense reports.
  • Support the planning and execution of high-profile events, briefings, and official functions.

Qualifications

  • DoD Secret Security Clearance
  • Bachelor's degree or equivalent experience in administration, public policy, international relations, or a related field.
  • Minimum of 3-5 years of executive administrative experience, preferably within a government or defense trade environment.
  • Strong understanding of defense trade regulations (ITAR/AECA) is preferred.
  • Exceptional organizational and time-management skills, with the ability to manage multiple priorities under tight deadlines.
  • Excellent written and verbal communication skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite and familiarity with government systems for document and records management.
